to print, press your "control" and "P" keys Sheshequin-Ulster Community Center DRAFT Meeting Minutes March 11, 2003 Attending: Laura Blain, RoseMarie Grzincic, Edward Knapp, Donald L.Roach Jr., Pastor Rick Stackhouse, Gene Weisbrod, Shari Whipple; board members absent: Rorry Colon, Cathy Cook; volunteers present: Jeff Harford; others present: Matt Roach, Marilyn Daugherty. The meeting was opened at 7:30pm by Laura. Minutes: A Weisbrod/Stackhouse motion was passed to approve the minutes of February 11, 2003 with attendance corrected to reflect Cathy Cook was absent. Treasurer's report: Gene presented the report for February plus 1st week of March. Prior balance reported, (January) was 6,485.04, income = $1,245.41, bills paid = $1,593.35, including the loan payment of 506.64, March 7 balance = $6,137.10 The outstanding loan balance is $3,454.79, leaving a net available fund balance of $2,682.31. Gene noted that the expenses for this month included some prior missing utility bills, and pre- payment on water through June to avoid nuisance of late billing on such a small bill. Don pointed out that we are charged for water to the Totem Park water fountain, but since the monthly bill is a flat fee of under $8.00, this is not an issue of concern. Gene requested that receipts be turned in for purchases made, as he has some invoices (Roof's candy, Bishop's hardware) without supporting bills. A Roach/Knapp motion was passed to accept the treasurer's report as presented. Previous/Unfinished Business: Saturday Night Dances: Doug resigned as a regular volunteer after skating on February 21, so the issue of dances was suspended, as he was the lead person for that activity. Jeff Harford would like help revive dances, and is trying to recruit volunteers. He invited Officer Mike Reeves to attend Friday night skates, and Officer Reeves asked to be notified of dances so he can stop in during those. Pastor Rick is also checking with some folks in his congregations for potential volunteers. The expense of hiring a DJ is a concern, in comparison to school dances, and how to cover our costs. Appropriateness of music selections was also discussed, and the question raised about how they handle that at school dances. Don is still working on the draft rules for behavior. No plans were made for a next dance. Building maintenance: The trailer was moved, but inadvertently blocked the cemetery and had to be moved again. It is now gone. The arcade machines will remain until volunteers AND equipment are available to move them. The boys room toilet was clogged, Don unclogged once, and has ordered a plunger for further anticipated needs. Don also replaced smoke detector batteries, installed additional detectors, and is ordering light bulbs. We are also looking for fire extinguishers. The weekly cleaning is not being done regularly, Rick has had some scheduling conflicts. Laura will look for a quote on contracted cleaning , either on an as needed basis or as a regular weekly job. Soda Machine Key: is still missing. Stage Curtain: Don will check with Doug to check the status on hardware that should have been ordered to hang the curtains. Re-organization (Annual) meeting: Letters went out to as many non- profits as we were able to find addresses for. So far, there are no replies. Phone calls will be needed as followup. By-Laws Revisions: Further revisions were discussed, Laura will distribute an updated version as soon as possible. Stereo Equipment: Laura has not yet contacted Chris Davis. Also to be discussed with him is the DJ license for providing music, to insure we are still covered since Doug is no longer volunteering with us. Website: www.sheshequinulsterreccenter.org is up and running, with draft minutes posted. A form for booking parties will also be included, and more as Laura has time to add to it. New Business: Building security: Myron and Don discovered basketballs missing, and the shop-vac hoses are also missing. No locks appear damaged. Don purchased 4 new basketballs, and installed a padlock on the supply closet. Laura reminded those present to SIGN IN when entering the building, Don had passed that message to Myron, who is now using the sign in sheet. Easter Egg Hunt: Marilyn Daugherty and her daughters would like to organize an indoor egg hunt for the community children. She was encouraged to contact the Chamber of Commerce for funding, and a date was set for April 12. New Activities: Marilyn Daugherty is willing to volunteer to sponsor one activity night per week if there is an opening. Shari is working on ping- pong tables, which may be the focus of the activity. The chess board is also being used regularly during Friday night skates, and might be made available during a "game night". Grant Application: Laura discovered a grant opportunity at Tolerance.org, that may fit a project that one of the youth volunteers at skating is working on, relative to appropriateness of music selections. She will pass it along to him and solicit help in applying. (See http://www.tolerance.org/teens/grants.jsp) Recovery House Dance: A Blain/Roach motion was affirmed to allow the Towanda Recovery House use of the rec building on May 3, 2003 for a dance. It was agreed that because they have used it in the past without problem, leaving it cleaner than they found it, and did not have much time to secure other facilities this year, we would extend the no fee arrangement this time. We did put them on notice, however, that we are restructuring, and will be revisiting the fee schedule for next year. Next Meeting: Will be TUESDAY, April 8, 2003, at 7:30 pm.
